#1514 Administrative Assistant
- Prepare price lists and quotations according to information/ instructions from the supervisor.
- Receive purchase orders, check the contents and deploy them internally.
- Control delivery date information and report it to customers.
- Prepare shipping documents according to the provided packaging information and arrange shipments.
- Prepare serialization reports of the shipping goods.
- Manage the inventory information.
- Maintain technical and commercial information of products.
- Maintain records of past quotations, sales, and shipments.
- Prepare purchase orders to suppliers and subcontractors.
- Maintain records of past purchase and payment and retrieve information from them.
- Create drafts of sales tools such as brochures and catalogues.
- All the necessary verbal and written communication with customers, suppliers, vendors and colleagues in both US and Japan.
- Support for the visitors from Japan. (Transportation, Language problem etc.)
- MS Excel, and MS Access depending on different purposes and characteristics of each task.
- Excellent written and verbal communication skills.
- Strong multi-task skills.
- Strong teamwork skills.
- Ability to read and interpret written documents and correctly understand verbally spoken explanations.
- Experience and high-level knowledge of business in general, accounting, trading, and logistics preferred.
- Native speaker of English language or equivalent.
- Excellent communication skill in Japanese language a plus.
- Working experience in a Japanese company a plus as well.
- No heavy physical labor is required but physical count of parts and components will be required at least 2 times a year.
