Shipping coordinator is responsible for coordinating international and domestic freight shipments from origin to destination while ensuring timely, compliant, and cost-effective transportation. This position serves as the primary point of contact among customers, overseas offices, carriers, customs brokers, trucking companies, and internal departments to ensure smooth execution of import and export shipments.

Essential Duties and Responsibilities

  • Coordinate international import and export shipments via ocean, air, truck, and rail transportation.
  • Coordinate domestic shipments via truck, air and rail transportation.
  • Arrange bookings with ocean carriers, airlines, and co-loaders.
  • Prepare and review shipping documentation, including Bills of Lading, Air Waybills, Commercial Invoices, Packing Lists, Certificates of Origin, and other transportation documents.
  • Ensure compliance with U.S. Customs, FMC, TSA, CTPAT, and other applicable regulations.
  • Coordinate customs clearance with customs brokers and monitor cargo release.
  • Arrange domestic transportation, drayage, transloading, warehousing, and final delivery.
  • Monitor shipment status and proactively communicate updates, delays, and exceptions to customers.
  • Resolve operational issues including delays, damages, documentation discrepancies, and customs holds.
  • Maintain accurate shipment records and update transportation management systems (TMS) and ERP systems.
  • Verify carrier invoices and prepare customer billing in accordance with company procedures.
  • Work closely with overseas offices and global agents to ensure seamless shipment coordination.
  • Negotiate transportation options when necessary to meet customer requirements and cost objectives.
  • Ensure compliance with customer SOPs and company operational standards.
  • Support continuous improvement initiatives to enhance operational efficiency and customer satisfaction.

Qualifications

  • Preferred or equivalent work experience in freight forwarding, logistics, or supply chain.
  • Knowledge of international transportation, Incoterms, customs procedures, and shipping documentation is plus.
  • Strong organizational and multitasking skills.
  • Excellent communication and customer service skills.
  • Proficiency in Microsoft Office (Excel, Word).
  • Experience using CargoWise is a plus.
  • Ability to work under pressure while managing multiple shipments simultaneously.
