POSITION PURPOSE:
1. Supports the service manager and mainly performs the following tasks:
1)- Manages the service department's budget and performance
2) - Adjusts the service staff's visit schedule
3) - Manages tools and equipment used for service
4) - Analyze and report on weekly reports from service staff
5) - Plans training for service staff
6)- Maintains the service department's environment (hardware and software)
KEY JOB RESPONSIBILITIES:
1. Manages the service department's budget and performance
・Involve in creating the budget for each fiscal year and propose a service budget after understanding the company's intentions.
・Based on the determined budget, in cooperation with sales, plan and confirm visits to service personnel, and then issue instructions to service personnel and have them carry out the plan.
・In response to service calls, confirm answers to customers, submit estimates, and plan and confirm visits for service personnel, then give instructions to the service personnel and have them carry out the work.
・Receive the results of the service visits from the service staff and request the purchasing department to create and execute invoices.
・ Keep a log of the results of service visits, compare them with the budget and work on improvements.
2. Adjusts the service staff's visit schedule・ Collect service requests from customers, sales staff.
・ Select a service staff member with the skills to handle the service request, and plan and execute the visit schedule while checking with them.
・If a service staff member cannot visit, adjust the schedule, contact the requester, and decide on a visit date.
3. Manages tools and equipment used for service
・Some tools are expensive or require calibration. List them and manage regular checks and calibrations.
・Throw away damaged or obsolete items, prepare a budget and restock the tools you need.
・Regular inventory checks
4. Analyze and report on weekly reports from service staff
・Receive reports from service personnel regarding weekly activities and create a single report summarizing them. These reports are necessary to analyze the performance of the Service Department and plan future activities.
・Since this will be submitted in Japanese, it must be written in Japanese.
・Additionally, a monthly report summarizing service status, sales results, etc. must be submitted in Japanese.
・Manager reports to Japan and the United States must also be prepared on a quarterly basis.
5. Plans training for service staff
・Plan and implement visits for service personnel, on-the-job training during customer visits, and training from expatriates, contractors, and manufacturers.
・We will also need to prepare an internal budget for this training cost.
6. Maintains the service department's environment (hardware and software)
・After preparing and confirming the internal budget, we provide and maintain the materials, tools, and environment necessary for service operations.
・It is preferable that you can operate/customize the software environment yourself.
7. Service meeting organization
・Weekly service meetings are held to keep records and share information with those who cannot attend.
8. Sharing information with other departments and disclosing information to service personnel
・Participation in meetings necessary for service operation, such as manager meetings and sales meetings, and information disclosure as a service.
・After the meeting, inform the service staff of any information that needs to be shared.
9. Visiting customers
・Visit customers, find out their requirements, and plan and implement proposals and implementation of new services.
10. Management of the office showroom and tool storage area
・Weekly cleaning and instructions to service staff. Instructions and confirmation of tidying up after work is completed.
11. Parts and rebuild support
・Confirm visits and individual schedules for support requests to service personnel and give execution instructions.
JOB REQUIREMENTS
1. University graduate or qualification holder. Experience working with machine tools or similar equipment is preferred. Ability to communicate in Japanese with many Japanese people. Ability to write reports in Japanese.
2. Excellent customer service, listening and verbal communication skills. Self starter as well as team builder.
3. Must have knowledge of computer software and skills to improve work efficiency and create management information using Office365, etc.
4. Job management skill. (Supervise sub-contractors and/or customer’s maintenance personnel.)
5. Ability to travel up to 30%, with some overnight travel. Flexibility to travel on short notice as well.
